Returns processing service

eCommerce returns management UK: every return checked against your rules

MuggleShip provides eCommerce returns management in the UK for Shopify, eBay, Etsy and Amazon sellers. Returns your customers send to our Bedford warehouse, including those on Amazon orders we dispatch, are logged against their RMA, inspected and checked against the instructions you set. Sellable items go back into your available stock, damaged goods are disposed of, and any replacement you have approved is re-shipped.

What's included

What our Returns Management service covers

01

Returns accepted and logged

Returned parcels are accepted at our Bedford warehouse and logged against their RMA (return merchandise authorisation), so each one is matched to the order it came from.

02

Inspection on arrival

Each returned item is opened and inspected by our operations team, who check the product and its condition before anything is decided about where it goes next.

03

Checked against your rules

You set the rules for what counts as sellable and what is treated as damaged, and we check every return against those instructions rather than guessing.

04

Restocking sellable items

Items that pass your rules go back into your available inventory at Bedford, ready to be picked for the next order on any connected sales channel.

05

Disposal of damaged goods

Items you class as damaged are disposed of instead of restocked, so a faulty unit is not put back on a shelf where it could be packed for another customer.

06

Replacement re-shipping

Where you have approved a replacement, we pick it from your stock and ship it to the customer with tracking, using carriers such as Royal Mail, DPD or Evri.

How our returns processing service works, from RMA to restock

Returns processing is reverse logistics: fulfillment running backwards. Stock comes back from customers instead of leaving the warehouse, and every unit needs a decision before it can be sold again. In Bedford, your returns are handled by the same operations team that runs our pick and pack. They work from the same stock records, so a unit that passes inspection is added back to the count your orders are picked from.

The flow starts with the RMA, or return merchandise authorisation: the approval and reference that links a returned parcel to the order it belongs to. Returns are processed the same day rather than left in a queue: each parcel is accepted, logged against its RMA and inspected, then the item is restocked or disposed of against your instructions. If you have approved a replacement, our team picks it from your stock and sends it to the customer with tracking.

Returns inspection and restocking, checked against your rules

What happens to a returned item is your decision, not ours. Your rules are written into the standard operating procedures (SOPs) our team works from. They can differ by product: you might put a sealed accessory straight back on sale but have an opened electrical item disposed of. Writing the rules down at the start means each return of that product is judged by the same standard, whoever opens the parcel.

Each return is then inspected and checked against those rules. Items that meet your sellable standard go back into available inventory at Bedford and can be picked for the next order like any other unit. Items that fail are disposed of. That keeps damaged stock out of the storage space you pay for, and it is not put back on a shelf where it could be picked for the next customer who orders that product.

Your instructions are not fixed at onboarding. If a supplier corrects a fault, or you decide to stop reselling opened items in a particular category, tell us and we change how future returns of those products are handled. The aim is that our team applies the judgement you would apply yourself if you were opening the parcels.

Returns for Shopify and marketplace sellers, resold on any connected channel

Returns Management uses the same Bedford stock as our eCommerce Fulfillment. A UK customer who bought from your Shopify store, or from a marketplace such as eBay or Etsy, sends the item back to the warehouse it was dispatched from, and it is restocked into the same inventory. There is no separate returns stock to reconcile, and a unit that passes inspection can be sold again on whichever connected channel orders it next.

If you also use our FBA Prep service, sellable returns from orders we handle can, on your instruction, be FNSKU labelled and included in a later shipment into Amazon FBA fulfillment centres, prepared to Amazon’s prep and packaging requirements. Restocked units can also fill Cross-Border Shipping orders, sent DDP (delivered duty paid) so international buyers face no surprise fees on delivery.

Amazon returns reporting and buyer messages

Fulfillment accounts include Analytics & Reporting, and for Amazon sellers that includes returns analytics. Reports are built only from your own Seller Central data, so they cover your Amazon sales rather than Shopify or other marketplace orders, and can be delivered as scheduled CSV or email exports. Seeing which Amazon products come back is a starting point for finding the listing, packaging or product problems behind them.

For Amazon orders, returns correspondence with buyers can also be handled inside Amazon’s Buyer-Seller Messaging service, written to Amazon’s Communication Guidelines and never used to ask for reviews. The same service also covers order enquiries and dispatch updates, so a buyer who asks about an order and later returns it is answered in the same place.

How it works

From first call to first shipment

  1. 01

    Describe your returns

Send us your sales channels, monthly order and return volumes, the products that come back most often and how you want each one handled. An itemised quote, with no obligation, follows within 24 hours.

  2. 02

    Agree your handling rules

Onboarding takes place within 5 business days of a signed quote. In that time your stock and sales channels are set up, and your handling rules for each product are added to our team’s SOPs.

  3. 03

    Returns received and checked

Customers send returns to our Bedford warehouse. Each parcel is logged against its RMA, inspected and checked against your rules, then restocked or disposed of.

  4. 04

    Restock, re-ship and report

Sellable units rejoin your available inventory and approved replacements ship with tracking. On fulfillment accounts, returns analytics in Analytics & Reporting, built from your own Seller Central data, show which Amazon products are coming back.

Who it's for
  • Shopify and marketplace sellers whose returns are arriving faster than the team can open and sort them.
  • Brands that want returns checked against their own condition rules rather than case-by-case judgement calls.
  • Sellers whose sellable returns sit unopened for days instead of going back into available stock.
  • Existing eCommerce Fulfillment clients who want returns handled by the same team, from the same stock.
  • Overseas brands selling to UK customers who need returns received and processed inside the UK.
  • Amazon sellers using our FBA Prep who want the option to send sellable returns into FBA.
FAQ

Returns Management: common questions

What does your eCommerce returns management service in the UK include?

Returns Management covers each return from arrival to outcome. We accept returned parcels at our Bedford warehouse, match each one to its order through RMA handling, then inspect it and check it against your instructions. Sellable items are restocked, damaged goods are disposed of and approved replacements are re-shipped with tracking. Restocked units join the same stock your outbound orders are picked from.

What is RMA handling, and how do you match returns to orders?

An RMA (return merchandise authorisation) is the approval for a customer to send an item back, and the reference that ties the parcel to its original order. When a return reaches Bedford, our team logs it against that RMA, so we know which order and product it belongs to. That tells us which of your handling rules apply before the item is inspected.

Who decides whether a returned item can be resold?

You do. During onboarding we write your rules into the standard operating procedures (SOPs) our team follows. They set out what condition an item must be in to go back into stock, what counts as damaged and when a replacement should be sent. Each return is inspected and checked against those rules, so the outcome reflects your standards rather than a call made by the warehouse.

What happens to returns that cannot be resold?

Items that fail your rules are treated as damaged goods and disposed of, rather than being put back on a shelf where they could be picked for another order. Storage is charged by space and time, so clearing out units that cannot be sold also stops them taking up storage space you pay for.

How quickly are sellable returns available to sell again?

Returns are processed the same day they reach us. Once an item passes inspection against your rules, it goes back into available inventory at our Bedford warehouse and can be picked for the next order like any other unit. If you also use FBA Prep and choose to, sellable returns can be FNSKU labelled and included in a later shipment into Amazon FBA fulfillment centres.

Where do customers send their returns, including Amazon returns?

Returns come to our Bedford warehouse at Unit 2, Caxton Road, Elms Farm Industrial Estate, Bedford MK41 0LF. Use that address in the returns instructions for orders we dispatch, including Amazon orders that ship from Bedford rather than from Amazon’s own fulfillment centres. Returns on FBA orders go back to Amazon under its own returns process, not to us. Each parcel that reaches Bedford is logged against its RMA and processed the same day.

How much does returns processing cost?

Returns processing is priced as part of your account’s custom pricing rather than sold as a fixed package. Your quote reflects your monthly order and return volumes and the other services you use alongside it, such as fulfillment and storage, and higher volumes earn lower per-unit rates. There is no setup fee, monthly subscription or long-term contract, and you can cancel at any time. Every quote is itemised and arrives within 24 hours of your enquiry.

Is there a mobile app for managing returns?

Yes. MuggleShip clients can use the MuggleShip iPhone app, available on the App Store, alongside the web Returns Portal. Each return has its own number you can search or scan, with the product, order, measurements and value in one place, separate notes for you and the warehouse team, photos of what was packed, and a queue for deciding which returned items are resold and which are disposed of.
